Lead information is entered manually into the system and filed automatically by company name, which becomes an uneditable, hard coded tracking element once the lead is saved to the system. Editable information includes contact name, address, phone, email, url and the like, allowing a sales representative to keep this information updated and current.

 

Specific to the needs of AIMG, leads are further categorized by industry, sector, solution, and from where the lead was acquired. If the lead was entered by the Business Development Director there is an option to automatically assign the lead to a particular sales representative. Leads can also be assigned by request. The sales rep enters the system and clicks Add Lead to acquire a new lead. Once he has done this, he must take an immediate action, such as make a call, before he can request a new lead. Every time a lead is opened to be managed an action must be noted in the system. The system provides radio buttons to make it quick and easy for the rep to keep track. Additionally, Notes must be added, indicating a particular response or valuable bit of information that will help to convert the lead, before the lead can be exited.

 

A built-in scheduler and calendar allows the sales rep to enter and keep track of upcoming appointments. The system also features a built-in notification system to alert both the management and the rep by email of all missed follow ups.

 

The new lead tracking system is designed to allow management to follow the progress of leads and the effectiveness of its sales force. It also assists in determining where problem areas may lie with a process or a sales representative.
